SpringCM Updates File It Document Management Solution

SpringCM, a provider of cloud-based document and contract management solutions, today released File It 4.0, a content management platform for creating, storing, organizing, accessing, and sharing documents, either natively from within the app itself or from within standard CRM systems like Salesforce.com or SugarCRM.

File It 4.0 enables users to access and manage content, such as quotes, contracts, non-disclosure agreements, service-level agreements, and marketing collateral, and take action, all from within a central content repository. Users can use the platform to upload, view, edit, store, and share documents.

"It lets you manage all your contracts and other documents in one place," says Steven Jones, vice president of product development at SpringCM.

The biggest change in version 4.0, according to Jones, is in the user interface. "We spent a lot of time and energy simplifying the user interface," he says. "With the 4.0 release, we turned our attention to the administrative functions. We made it very easy to use.”

File It 4.0 makes it easier for system administrators to configure, establish business rules, and set permissions, for example, Jones says.

The content repository complements SpringCM Manage It, a contract life cycle management application that automates the entire contracts process, from generation and review to approval and renewal. File It 4.0 also integrates with DocuSign and EchoSign, as well as other content generation and configure, price, and quote applications.

File It 4.0 has been optimized for Salesforce.com CRM, offering more than 30 content actions directly from within Salesforce, including organizing and storing documents in a familiar folder hierarchy and tagging documents with custom attributes for better searching and reporting. 

"Rather than having presentations in one location, quotes, proposals, and contracts in others, File It 4.0 creates one repository, keeping reps in Salesforce and reducing the time spent finding, creating, and reviewing content by as much as 80 percent," said Greg Buchholz, CEO of SpringCM, in a statement. 

But Jones points out that though Salesforce.com users are a primary target for File It 4.0, the application supports most other CRM, enterprise resource and planning (ERP), and back-office business applications.

Typical CRM systems, Jones says, are great for capturing transactional data but come up short when it comes to digital document management features.

"With contracts, you're constantly moving documents around, and the tools needed to do that are just not found in CRM systems," Jones says.

File It 4.0, he adds, "lets you tackle all of your document processes without having to leave the CRM system."

Customers can leave their CRM systems if they want to and work directly in the SpringCM File It application, but they don't have to. "You could log directly in through SpringCM and do all your work there, but most people are working in their CRM systems and don't want to leave them," Jones says.

File It 4.0, Jones says, "is a window into our much larger SpringCM system," he states. "It offers a slightly reduced footprint from our full platform."
